This policy explains what personal information we collect when you use Soy Salsa, how we use it, and the choices and rights you have.

Who we are

Soy Salsa Ltd (Soy Salsa) is the controller of the personal information described in this policy. We are a company registered in England and Wales (company number 17149531), with our registered office at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom. We operate the Soy Salsa and Salsa Femme brands.

This policy applies to personal information we collect through our website and in connection with our classes. If you have any questions, or want to exercise your rights, please email hello@soysalsa.co.uk.

Information we collect

We collect the following kinds of personal information:

  • Account details: your first name, last name, and email address, and a securely stored (hashed) password if you set one.
  • Profile details: your dance role (leader or follower), your level, a profile photo if you add one, and your communication preferences, such as whether you want class reminders.
  • Booking and enrolment details: the classes, courses, passes, and events you book, and related history.
  • Payment records: our payment provider, Stripe, handles your card payment. We do not store your full card number. We keep a record of each payment, such as the amount, currency, date, status, a description, the email used, and Stripe reference numbers, so we can manage your bookings, refunds, and accounts.
  • Loyalty details: your Soy Points balance and transactions, and your referral code and referrals.
  • Marketing preferences: whether you have opted in to marketing emails.
  • Technical and usage information: information about the device and browser you use, your internet protocol (IP) address, and how you use our website, collected through cookies and similar technologies.

How we collect it

We collect personal information:

  • Directly from you, when you create an account, update your profile, book with us, or contact us.
  • Automatically, through cookies and similar technologies, when you use our website.
  • From our payment provider, Stripe, when you make a payment, so we can confirm and manage your booking.
  • From Google, if you choose to sign in with your Google account, which provides basic profile information such as your name, email address, and profile picture.

How we use your information

We use your personal information for the following purposes, relying on the legal bases set out below:

  • To provide your account, bookings, courses, and passes, and to give you customer support. Legal basis: performance of our contract with you.
  • To take payment and handle refunds, and to keep accounting and tax records. Legal basis: performance of our contract with you, and compliance with our legal obligations.
  • To send you service messages, such as booking confirmations, class reminders, and changes to a class. Legal basis: performance of our contract with you, and our legitimate interests in keeping you informed.
  • To run the Soy Points loyalty scheme. Legal basis: performance of our contract and our legitimate interests in rewarding customers.
  • To send you marketing emails, where you have opted in. Legal basis: your consent, which you can withdraw at any time.
  • To measure and improve the performance of our advertising, including through the tools described in Cookies and tracking below. Legal basis: your consent for advertising cookies, and our legitimate interests in understanding whether our advertising works.
  • To keep our website and community safe, to prevent fraud and misuse, and to improve our services. Legal basis: our legitimate interests in running our business securely.

Marketing

When you sign up, you can choose to receive marketing emails, such as news, offers, and updates about classes and events. Opting in is entirely optional and free to decline.

You can unsubscribe at any time using the link in any marketing email, or by emailing us at hello@soysalsa.co.uk. Unsubscribing from marketing does not stop important service messages about bookings you have made.

Cookies and tracking

We use cookies and similar technologies to run our website and to understand how it is used.

Essential cookies

Some cookies are necessary for the website to work, for example to keep you signed in and to keep your session secure. These are always on, because the website cannot function properly without them.

Advertising and measurement

With your consent, we use the Meta Pixel to understand which of our adverts lead to visits and bookings. When you first visit, we ask whether you accept advertising cookies, and we store your choice in a cookie (named ss_ad_consent) for about 180 days. The Meta Pixel loads only if you accept. You can change your choice at any time by clearing the ss_ad_consent cookie in your browser, and we will ask you again.

We also measure completed bookings using server-side reporting, so our advertising figures stay accurate when browser cookies are limited (for example inside the Instagram in-app browser, where the Pixel cannot run). This measurement is separate from the advertising-cookie choice above, which controls the browser Pixel, so it may include bookings where the Pixel did not load. We share only the minimum information needed to match a booking to an advert, such as a securely coded (hashed) version of your email address, and we rely on our legitimate interests in understanding whether our advertising works. You can object at any time by emailing us at hello@soysalsa.co.uk.

To help our advertising reach the right people, we may analyse booking patterns, including which dance role is in shorter supply for a class, so that we show adverts to the audiences most likely to be a good fit. This does not involve any automated decision that has a legal or similarly significant effect on you.

Who we share information with

We do not sell your personal information. We share it only with organisations that help us run Soy Salsa, and only for the purposes described in this policy:

  • Stripe, our payment provider, to process payments and refunds.
  • Resend, our email provider, to deliver our emails to you.
  • MongoDB Atlas, which hosts our database.
  • Vercel, which hosts our website and supporting infrastructure.
  • Google, only if you choose to sign in with your Google account.
  • Meta, for the advertising measurement described above, subject to your consent.

We may also share information where the law requires it, to establish or defend legal claims, or as part of a sale or reorganisation of our business. In each case we take steps to protect your information.

International transfers

Some of the organisations we work with are based outside the United Kingdom, including in the United States. Where your personal information is transferred outside the UK, we make sure appropriate safeguards are in place, such as UK adequacy regulations or standard contractual terms approved for use in the UK.

How long we keep it

We keep your personal information for as long as we need it for the purposes described in this policy. In particular:

  • We keep your account information while your account is active, and for a reasonable period afterwards.
  • We keep records of payments and bookings for as long as we are required to for tax and accounting purposes, which is normally six years.
  • We keep you on our marketing list until you unsubscribe.

You can ask us to delete your information, and we will do so unless we are required to keep it, for example for legal or accounting reasons.

Your rights

Under data protection law, you have rights over your personal information, including the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information, in certain circumstances;
  • ask us to restrict or object to how we use your information;
  • ask us to transfer your information to another provider, where this applies; and
  • withdraw your consent at any time, where we rely on consent.

To exercise any of these rights, please email us at hello@soysalsa.co.uk. We will respond within one month. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk, although we would welcome the chance to help before you do.

How we protect your information

We take reasonable measures to protect your personal information. Passwords are stored in a hashed form, information sent between your device and our website is encrypted in transit, and we limit access to personal information to those who need it. We also rely on reputable providers to host our systems. No method of transmission or storage is completely secure, but we work to protect your information and to respond quickly if a problem arises.

Children

Our classes and this website are intended for adults. You must be 18 or over to create an account and to book with us, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. When we make changes, we will update the date at the top of this page, and where the changes are significant we will take reasonable steps to let you know.
